Overview

This position supports the work of the Y, a leading nonprofit, charitable organization committed to strengthening community through youth development, healthy living and social responsibility.  The Swim Team Administrator at The YMCA of the Jersey Shore intentionally fosters a cause-centered culture that is welcoming, genuine, hopeful, nurturing, and determined.  The primary responsibility of the Swim Team Administrator is to oversee all administrative aspects of the YMCA of the Jersey Shore Swim Team, Pre-Team and Summer League swim teams working directly with the head coach and assistant coaches.

Responsibilities

  • Manage with Head Coach’s supervision of all assistant coaches’ schedules
  • Assist with planning practice schedules for all sites and levels
  • Responsible for updating practice schedules and communicating updates to staff and team
  • Assists with JSY hosted meet documents and planning of event including 13/O States
  • Responsible for all team communication via email, texts and website postings
  • Responsible for registration of all swim team, pre-team and summer league team swimmers; keeping TeamUnify (SportsEngine)
  • Assist membership director with setting up memberships for new swim team members
  • Work with Aquatics staff to coordinate pool and practice schedules
  • Work with Parent Board to plan special events, team banquet, etc
  • Oversee travel for both short and long course nationals
  • Manage swim team custody account, monthly bank reconciliations, check requisitions
  • Assists HR with hiring new coaches
  • Oversee team billing of meets, USA Swimming fees, etc through TeamUnify

Qualifications

  • Must be 21 years of age
  • Must have 3 to 5 years of experience as an administrative assistant and competitive swimming environment.
  • Must be USA Swimming certified Administrator
  • Bachelor’s degree preferred
  • Strong Communications skills and ability to work in a team environment.
  • Preferred experience in TeamUnify, Excel, Microsoft Office and Daxko
  • A passion and enthusiasm for competitive swimming with a desire to excel professionally and continually learn and improve knowledge and skills
